I am moving this week but it should not affect anyone as I am very organised and almost packed.

The contact numbers all remain the same because they are virtual numbers that take messages so that you can make appointment times to talk to me and avoid time wasting phone tag.

Searching through all my old records and clearing out those that are past their use-by date has been a most illuminating experience.

The part of moving that has taken most time is searching through all my old records and clearing out those that are passed their use-by date has been a most illuminating experience.

Until around seven years ago I had an office and staff and with bigger overheads, so although I had really good systems in place, I ended up like so many managers not fully checking what all the staff were actually doing so "efficiently".  I was too busy bringing in the money to feed them all!

I had systems and training in place but my staff overlaid these with a mountain of paper files, hanging files and manilla files all colour coordinated and I was flying somewhere almost every week to work with remote clients.  I spent the past two weekends sorting through this mountain and safely disposing of almost all of it.  So much for waste paper, printing and human effort - not to mention my money!

That stage taught me a lot more about truly effective systems.  I learned how to cut the overheads and reduce paper.  For several years now I have run my business effectively with a few A4 folders for the accounts and only one two-drawer filing cabinet.  I have even got my accountant sending me a disk of digital reports instead of lots of bound paper. 

I work with a partime bookkeeper and virtual staff who work from home and all my files are on my server which is backed up daily.  And I can work with more clients at the same time because when you work with me, you get the benefit of my traning packages and the choice of reading Power Point slides, listening to MP3 files which you can do while commuting or watching the same material in a video, then getting a weekly coaching call.  I concentrate on helping you to keep it simple.

This fits in with the comment Peter Dunne, a farmer from Qld made, "It has made me look at my business management differently. I have not added an extra layer of paper but done an overall clean out and review. It has been like a good desk tidy where I pull all my management practices together."

You don't need mountains of paper because the best management systems are lean.  you don't need to employ a person to run your system and if you do, they often justify their existence by making your system bigger than it needs to be.

I found I was upset sorting out that past stage and removing the waste that happened when one woman decided that she knew better than me, called herself the Office Manager, and because I was away so much, I took a few months to pick it up and remove her.

You will find that I am really hot on this now and you will learn how to review your existing practices while you are building your management system, and to question every peice of paper.  Handle it once and ask if you really need it, can you simply scan it or should it be tossed? 

This might sound simplistic but if you run a small to medium business you don't want all your profits going into huge filing cabinets and mountains of stationery. 

You need to do the risk analysis on all your activities up front and control the activities that could cause your business the most risk and just keep an eye on the others.  There is no need for massive instructions on things that don't cause problems.

Rivers and stormwater

Senator Wong was on television this week telling us that storm water can’t be made potable – what does she think the Murray River is?  I have never heard anything so silly.
